POSITION SCOPE AND ORGANIZATIONAL IMPACT
Moss’ Executive Assistant will enhance the effectiveness of the HR Operations and Talent Development teams by providing high-level administrative support with a strong focus on calendar management, scheduling coordination, and organizational support. This role plays a key part in ensuring priorities are well-managed and time is effectively allocated across both teams. Acting as a connector across the organization, the ideal candidate will help build and maintain strong internal and external relationships while supporting clear communication and alignment across stakeholders.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Provide primary administrative and operational support to the HR Operations team, ensuring efficient execution of day-to-day activities and initiatives
Manage and maintain calendars for the HR Operations leadership team, coordinating meetings, events, and occasional travel while proactively resolving scheduling conflicts
Maintain strict confidentiality and discretion when handling sensitive employee, departmental, and business matters
Serve as a point of contact for team members and visitors, professionally handling inquiries and directing requests as appropriate
Prepare and reconcile expense reports and invoices for the HR Operations team, ensuring accuracy and timely submission
Support cross-functional coordination by working with internal teams to ensure alignment and effective communication across departments
Operate effectively both independently and collaboratively, fostering strong working relationships across the organization
Support external committee and organizational involvement, ensuring effective coordination and engagement
Assist with the preparation of presentations and materials, ensuring clear and professional communication
Support participation in conferences and industry events, including logistics coordination, materials preparation, and scheduling
Perform other duties as assigned
EDUCATION AND WORK EXPERIENCE
Minimum of three years’ experience supporting an Executive
Tech savvy; Proficient in PowerPoint, Office, and MS Excel, Teams, Zoom, etc.
Bachelor's degree from a four-year college or university preferred
